You have compared portfolios and want to choose a videographer in Toulouse? Use this checklist for the final conversation before you sign. For your first shortlist, use our guide to choosing a videographer instead. Here, the aim is to make two quotes comparable and clear up any grey areas.
1. Which files will I receive?
Ask for a list of every film and every cut-down: target length, landscape or vertical format, subtitles and a text-free version if needed. “One video plus social formats” does not say how many files you will get or whether the edit will be adapted to each use.
2. Which preparation steps are included?
Interview questions, recce, running order, finding speakers and organising the shoot all need an owner. State which documents you provide and which the provider prepares. Editing cannot recreate an essential scene that was never planned.
3. How many locations and time slots are planned?
For a shoot in Toulouse or its surroundings, give the addresses, access details and travel time between sites. Half a day in one place is not the same as several short visits on different dates. Ask how overruns would be handled.
4. Who signs off the content, and when?
Name one person to gather your team's feedback. Set the sign-off stages: message, running order, first cut, then final version. Identify confidential remarks, brands and people who may appear in the film.
5. How many rounds of edits are included?
One round of combined feedback on a first cut is not a rethink of the concept after the shoot. Ask how many rounds are included, how to send feedback and how extra requests are handled. Ask too when your sign-off will be expected.
6. Which uses are covered?
List your channels: website, sales presentation, social media, ad campaign or trade show. Check the terms covering the footage, the speakers and the music. Do not assume that delivery automatically covers every future use.
7. Are the drone shots confirmed?
If there are aerial shots, ask what still depends on the site assessment, the applicable authorisations, the weather and safety. The quote should separate a shot you would like from one whose feasibility has been checked, with a fallback plan.
8. Which costs and options are still to come?
Check travel, any accommodation, location hire, voice-over, translation, music and new cut-downs. Compare amounts on the same basis, excluding or including VAT. Our guide to video prices in Toulouse details the items to pin down.
9. What delivery date is realistic?
Separate the first cut from final delivery. Allow time for your own sign-offs. If the video is for an event, give the date it will be used and the organiser's constraints when you ask for the quote.
10. What happens if plans change?
Clarify the booking, payment, rescheduling and cancellation terms in the proposal. Finally, ask whether project files or unedited footage are included: they are not the same as the finished films.
Drawing the right conclusion
For each question, mark “included”, “optional” or “to clarify” on both quotes. Then fill in the gaps with the providers. A lower price may simply mean a smaller scope; on its own, it proves neither a better nor a worse service.
Get the scope of your quote pinned down
Our video production service in Toulouse covers preparation, shoot and deliverables. Watch the films for L'Écrin de la Cité, in Carcassonne to describe the style you want, then send us your locations, dates and uses: the quote should answer the questions still open, without borrowing the budget or constraints of another project.
